Archive sections
The Archive is where Speudio tucks away anything you don't want in your main lists but might want back. Every item can be restored. (Permanently removing something is a separate, clearly-marked action that asks you to confirm.)
The tabs
- Services: automated senders Speudio auto-detected (invoicing tools, newsletters, robots). Restore one to track it as a normal contact. The Services tab shows a small unread badge when new service mail arrives, so you can see it without un-hiding these contacts; a sync that files mail here also notes it as "filed under Services".
- Deactivated: contacts you've parked to free up space. See below.
- Spam: contacts you've marked as spam.
Deactivate or remove?
Both leave your real mailbox untouched. The difference is what Speudio keeps, and whether you can undo it.
- Deactivate frees up space and is reversible. The mail Speudio stored for them is deleted and no new mail is taken in, but everything you made stays: your notes, tags, custom fields, files you uploaded, and your AI chat about them. Restoring fetches their mail back.
- Remove clears everything, including your AI chat with them, and there is no undo. Their emails can be imported again later, and if they write to you the contact simply starts again as a new one.
In short: deactivate when you want the space but not the loss; remove when you want them gone from Speudio.
Deactivating a contact frees up space
Deactivating is how you make room when your plan is full. The contact moves to Deactivated, stops taking in new mail, and the mail Speudio had stored for them is deleted, so that space goes back on your plan. The confirm box tells you how much you get back before you decide.
Your real mailbox is never touched, so nothing is lost there. When you restore the contact, Speudio fetches their mail again from your mailbox in the background. That takes a few minutes, and it can only bring back what your mail server still has: if you deleted some of those messages in your own email in the meantime, they are gone. We tell you when that happens rather than pretending everything came back.
The fetch cannot always start straight away. If another sync is already running, if the mailbox is paused, or if your plan is already full, Speudio says so and leaves the contact under Deactivated instead of bringing them back with an empty history. Press Restore again once the sync finishes, once the mailbox is active, or once you have made room.
A full plan is the one worth spelling out. Speudio does not start a fetch it cannot store, because a full account stops taking in new mail. Nothing is lost when that happens: their messages are still sitting in your own mailbox, untouched. Free up space by deactivating someone else, or move to a bigger plan, and Restore works.
Two things are never deleted by deactivating, because Speudio holds the only copy of them and no re-fetch could bring them back: files you uploaded to the contact yourself, and everything you wrote about them (notes, tags, custom fields and your AI chat). Mail that also belongs to a contact you are keeping stays too, so it never disappears from their timeline.
Restoring vs removing
Restore brings an item back to where it came from: a contact returns to your Contacts list, with its mail fetched again if deactivating had freed it. Remove deletes Speudio's local copy for good (no undo). Your real mailbox is never touched there either, so a new email from that address simply starts the contact again. Both single and bulk actions are available, and a search box filters whichever tab you're in.
Removing from the Archive is the same action as removing a contact anywhere else, so it behaves the same way: the confirmation shows how many emails and attachments go and how much space that frees, and mail that also belongs to a contact you're keeping stays on their timeline instead of going with it.
