Getting started
Speudio turns your email into a customer-aware workspace. Setup takes about 2 minutes:
- Connect your email. On Home, press Connect your mailboxand follow the prompts to connect Gmail, Outlook, or any other provider (the Connecting your email guide walks you through it step by step). Access to your mailbox is read-only by design: Speudio never deletes, moves or sends anything from it, and every connection it opens, it opens for reading only. When you want to send an email Speudio drafted for you, just copy it and send it from the mail app you already use.
- Import your contacts. A wizard scans your inbox and shows you who you correspond with most. Take its recommendation, or switch to Advanced and pick people yourself. Before you import, it shows how many emails and how much storage the selection uses on your plan. Importing your contacts walks through both modes and the space meter.
- Open any contact. Each contact page shows the full email thread + every attachment + an AI chat scoped to that one person. Ask anything about them; the AI cites real emails.
A short guide on Home walks you through three steps (Connect, Pick people, Ask) one at a time, so you always know what's next. The first import is the slowest part: Speudio is reading your whole history, which usually takes a while, so it's fine to close the panel and keep working. A compact progress card in the sidebar (just above your mailbox; a slim pill at the bottom on phones) keeps tracking the import, and clicking it brings the import window back. You can even pick up on another device: open Speudio on your phone and the same import shows up live, right where you left off, with the contacts you'd chosen still selected. You can already ask a question while it runs. We'll let you know the moment your contacts are ready. When they are, the guide invites you to ask your very first question: the answer comes straight from your real emails, with a link to the exact message it came from. The same guide works on your phone too, so you can get set up wherever you are. The guide stays with you until you finish it or close it with the ✕ in its corner. It won't disappear halfway through just because your contacts finished importing, and once you've closed it, it stays closed on every device you sign in on. When it does step aside, Home settles into a calm overview: a quick "ask a question" button at the top and your most recent conversations. Storage and AI use show there only when one is nearly full; the full figures are in Plan & usage. On AI plans a quietNeeds your reply button sits below it (who's waiting on your answer). The list is checked only when you press the button. Each person on it comes with the sentence they actually wrote, quoted, so you can see what they are waiting for without opening the message, and when that message came in ("Today 08:18", "Yesterday 17:40", or the date). It reads the last few messages of each conversation, yours included, so someone you've already answered drops off. It only sees this mailbox, so a reply a colleague sent from their own address won't count. If some conversations couldn't be checked, the panel says the list may not be complete. It also says how far back it has checked. Press Check older conversations to go further: pick the last 3, 6, 12 or 24 months. Each choice shows about how many conversations it checks and the most it can use of your monthly limit, and a long one may take a few minutes. While it runs you see how far it has got, and Stop ends it; what was checked is kept. You can also ask Iris in your own words, for example "look back a year" or "since March". She shows the same choice with your period first, and nothing is checked until you press it. Speudio looks back at most 2 years. What it has checked is kept for 30 days, so asking again does not check it again unless new mail came in. When even the newest conversations still need checking, Iris shows this choice first, with how much of your monthly limit each one can use, and gives you the list after you press one. If the check can't run, the panel says why instead of just looking empty: a paused mailbox, or you having used all the AI that comes with your plan (your mail keeps arriving either way).
Alongside the guide, small tips appear next to a feature the first time it's useful. Each one shows once for your account, not once per computer, so signing in on your laptop or your phone later won't start them over. If you'd rather not see them, switch them off under Settings › Onboarding tips. Switching them off keeps your place, so turning them back on won't repeat the ones you've already read. When you do want them again, Show tips again in the same place replays every tip from the start, on every device you sign in on.
That's it. New emails arrive automatically in the background, even when Speudio is closed. How often depends on your plan: every 15 minutes on Solo, 10 on Pro and 5 on Business. Each mailbox shows when it was last checked in the mailbox list. You can switch this off in Settings if you would rather sync by hand. A refresh checks all of your connected mailboxes and brings in mail from new people too, not only the contacts you already track; anyone genuinely new shows up in your People list (automated senders like receipts and newsletters are filed under Services). You can also press "Sync now" in Settings → This mailbox (in the account menu, bottom-left) to refresh on the spot (it's available again a few minutes later). Your mailbox at Google / Outlook / wherever stays untouched.
Every plan lets you connect more than one mailbox (Solo 2 · Pro 3 · Business 5). See Multiple mailboxesfor how to add and switch between them. While you're in the account menu (bottom-left) → Settings → Global, it's also worth setting up your recovery codes (see Account management) so you can always get back in.
