Storage and plan limits

One rule covers all of this. Speudio holds a certain number of gigabytes of your mail and your files, one number for both, and it imports everything by default. When it is full, new mail stops arriving until you make room or move up. Nothing you already have is ever hidden or deleted.

Your plan is one number

Speudio used to count your emails and your attachments as two separate pools, with a limit on each. It does not any more. There is one figure per plan, shared by your mail and your files, and it is the only limit on what Speudio holds: 3 GB on Solo, 6 GB on Pro and 25 GB on Business. The meter sits in Plan & usage and in your account menu, and also on Home once it is nearly full. They all show the same figure.

You will still see how many emails Speudio is holding for you, in the same places. That is a count of what is here, not a limit you can reach. Nothing stops at a number of emails.

What counts toward it

Your messages and the files that came with them, counted the way your own mail provider counts them. That is the whole list. A message is measured once, as it arrived, so the number moves for the same reason your mailbox at Google or Outlook moves.

What does not count is everything we build to work with your mail. Speudio keeps a search index so you can find a message by a word in it, a second index that lets the AI search by meaning, the text pulled out of your PDFs, the descriptions written for your photos, and a display copy of each message so it opens instantly. All of that is ours to pay for. None of it is ever charged to your plan.

One small thing to expect: for mail that carries files, the figure here sits a little below what Gmail or Outlook show for the same messages. A file counts here at its real size, while email carries files in a padded form about a third larger, and the padded size is what your provider counts. For messages without files the two agree. The number here is never the higher of the two.

When your plan is full

Speudio stops taking in new mail and tells you, in the bell and on the meter. Everything already here stays exactly where it is: readable, searchable, and available to the AI. The mail that did not come in is untouched in your own mailbox at Google, Outlook or wherever you keep it, so nothing is lost. Make room or move to a bigger plan and new mail flows again; to pick up what Speudio had to leave behind, use Fetch older mail in Settings → This mailbox (see Missing older email).

Uploads are refused while you are full, for the same reason. Every file Speudio already holds stays open, and a file it could not save is listed with the reason on it so you can see what is missing. The original is still attached to the message in your real mailbox.

One thing worth knowing: making room brings back nothing that was already skipped. Speudio keeps each message once, so importing those contacts again finds the message already here and fetches nothing. Use Fetch older mail for that instead.

After a downgrade

A downgrade is not a separate mechanic. It is the same rule with a smaller number. If you now hold more than the new plan does, you are simply over your limit: everything you already have stays exactly as readable as it was, and new mail pauses until you are back under. Nothing is greyed out, nothing is removed, and there is no countdown. You get one notification saying how far over you are.

The meter stops at 100%, so a full bar looks the same whether you have just reached the limit or are well past it. The notification is where the real numbers are. Nothing has gone anywhere, and Speudio is still holding all of it.

A fair-use ceiling on how many messages

Separate from your plan, Speudio holds at most 1,000,000 messages per account, counting every mailbox you have connected together. This one is not part of any plan: it is the same number on Solo, Pro and Business, no plan raises or lowers it, and changing plan does not move it. It protects the shared server against the one shape a size limit cannot catch, which is an enormous number of very small messages.

It sits far above what any plan holds. A full Business plan is around 55,000 emails at real-world sizes, so the ceiling is roughly eighteen times more mail than the largest plan can store and about a hundred times what a busy business mailbox actually contains. In normal use you will never meet it.

If an account does reach it, what happens is the behaviour you already know from a full plan: new mail stops being added, Speudio tells you, everything already here stays exactly as it is, and the mail waits untouched in your own mailbox. Making room works the same way as below. It is written into our Terms of Service as well, in section 5.5. If you have a genuine need for more, write to info@speudio.com and we will talk it through with you.

How to make room

  • Move to a bigger plan. Plans are paid by invoice, so write to info@speudio.com with the plan you want. The new limits apply as soon as it is active.
  • Deactivate contacts you no longer follow. Deactivating parks a contact and deletes the mail Speudio had stored for them, which puts that space back on your plan. The confirm box tells you how much you get back before you decide, and restoring the contact fetches their mail again from your mailbox. See Archive sections.
  • Delete files you don't need here. Files are part of the same number, so removing a large one puts that space straight back, and files that arrived by email are still attached to the original message in your mailbox.

Your real mailbox is never touched by any of this. Speudio only ever reads it, so anything Speudio does not hold is still sitting with your mail provider.
